CogniDrive Pte. Ltd. ("CogniDrive", "we", "us") is committed to protecting personal data in accordance with the Personal Data Protection Act 2012 ("PDPA") of Singapore. This Privacy Policy explains how we collect, use, disclose and safeguard personal data when you visit cognidrive.pro, use our enterprise AI platform, participate in programmes or engage our analytics services.

2. Personal data we collect
We may collect: (a) identity and contact data — name, job title, organisation, email, telephone; (b) account and platform usage data — login credentials, feature usage, model interaction logs; (c) technical data — IP address, browser type, device identifiers, cookies; (d) communication data — enquiry messages, briefing notes, support tickets; (e) billing data — invoicing address, payment references processed by third-party payment providers; (f) programme participation data — attendance, assessment results, certification records.
3. How we collect data
Data is collected directly when you submit contact forms, register for programmes, create platform accounts or correspond with us. We also collect data automatically through cookies, server logs and platform telemetry. Where you provide data about third parties, you confirm you have obtained their consent.
4. Purposes of processing
We process personal data to: deliver enterprise AI and decision intelligence platform services; respond to enquiries and schedule decision briefings; administer programmes and certifications; provide customer support and analytics service; improve platform performance and security; comply with legal obligations; send service communications where permitted; and conduct fraud prevention and audit activities.
5. Legal basis
Under the PDPA, we rely on consent (e.g. contact form checkbox), contractual necessity (platform service delivery), legitimate interests (security, product improvement) and legal obligation (regulatory record-keeping). You may withdraw consent by contacting [email protected], subject to legal and contractual limitations.
6. Disclosure to third parties
We may disclose data to: cloud infrastructure providers hosting Singapore and Asia-Pacific services; analytics vendors (where consented); professional advisers (legal, accounting); government authorities when required by law; and enterprise clients where you access platform services through your organisation's account. We require processors to implement appropriate safeguards.
7. International transfers
Primary processing occurs in Singapore. Where data is transferred outside Singapore, we ensure comparable protection through contractual clauses and vendor assessments consistent with PDPA transfer requirements.
8. Retention
Contact enquiry data: up to 24 months after last interaction. Platform account data: duration of contract plus 7 years for audit. Programme records: 7 years. Marketing consent records: until withdrawal plus 6 months. Server logs: 90 days unless required for security investigation.
9. Security measures
We implement encryption in transit, access controls, role-based permissions, audit logging, vulnerability assessments and staff training. No method of transmission is completely secure; we encourage strong passwords and prompt reporting of suspected breaches.
10. Your rights
Under the PDPA you may request access to, correction of, or withdrawal of consent for your personal data. You may also enquire about how data has been used or disclosed in the past year. Submit requests to [email protected]. We respond within 30 days unless extension is permitted.

12. Children's data
Our services are directed at business professionals. We do not knowingly collect data from individuals under 18.
13. Platform client data
Where CogniDrive processes personal data on behalf of enterprise clients as a data intermediary, processing is governed by the client agreement and the client's privacy policies. Clients remain responsible for lawful collection and consent from their data subjects.
14. AI and automated processing
Our platform uses machine learning for predictive analytics and decision intelligence. Automated outputs support human decision-making and are not solely determinative of legal or similarly significant effects without human oversight, consistent with responsible enterprise AI governance.

We may update this policy periodically. Material changes will be posted on this page with an updated "Last updated" date. Continued use after changes constitutes acknowledgement.

17. Marketing communications
Where you have provided consent or where permitted under the PDPA, we may send you information about CogniDrive programmes, platform updates and enterprise AI events. You may opt out at any time by clicking the unsubscribe link in marketing emails or contacting [email protected]. Opting out of marketing does not affect transactional or service-related communications necessary to deliver programmes or platform services you have requested.
18. Data breach notification
In the event of a personal data breach that is likely to result in significant harm or affect a significant number of individuals, we will notify the Personal Data Protection Commission of Singapore and affected individuals as required under the PDPA. We maintain an incident response procedure that includes containment, assessment, notification and remediation steps. 19. Third-party websites and integrations
Our website may contain links to third-party websites, documentation portals or partner platforms. We are not responsible for the privacy practices of those third parties. When you connect third-party data sources to the CogniDrive platform, processing of data from those sources is governed by your agreements with the respective providers and our data processing terms with you as the data controller or intermediary as applicable.
20. Employee and contractor data
We collect and process personal data of our employees, contractors and programme instructors for employment, payroll, professional development and security purposes. Such processing is governed by separate internal policies consistent with the PDPA and applicable employment law in Singapore.
21. Anonymised and aggregated data
We may create anonymised or aggregated datasets from platform usage and programme participation for statistical analysis, product improvement and industry benchmarking. Anonymised data does not identify individuals and is not subject to PDPA personal data requirements. We do not attempt to re-identify anonymised datasets.
22. Access request procedure
To submit a data access or correction request, email [email protected] with your full name, organisation, contact details and a description of the data concerned. We may request identity verification before processing your request. A reasonable administrative fee may apply to access requests as permitted under the PDPA. We aim to respond within thirty calendar days unless an extension is required and communicated to you.
23. Complaints
If you are dissatisfied with our handling of your personal data, contact our Data Protection Officer at [email protected]. If the matter remains unresolved, you may lodge a complaint with the Personal Data Protection Commission of Singapore in accordance with its published procedures.
24. Definitions
"Personal data" means data about an individual who can be identified from that data or from that data and other information to which we have or are likely to have access. "Processing" means any operation performed on personal data including collection, use, disclosure, storage and deletion. "Data intermediary" means an organisation that processes personal data on behalf of another organisation pursuant to a contract in writing.
25. Programme and event photography
We may photograph or record programme sessions and corporate events at our Robinson Road studio for internal training and marketing purposes where permitted. Participants are notified in advance and may opt out of identifiable use. Group photographs used on our website or publications do not include names without separate consent.
26. Payment data
Payment card and bank transfer details are processed by third-party payment providers. CogniDrive does not store full payment card numbers on our servers. We retain transaction references, invoice records and billing contact information for accounting and audit purposes as described in our retention schedule.
27. Automated decision-making
CogniDrive platform features may produce automated analytics scores and predictive outputs. These outputs are designed to support human decision-makers and are not used as the sole basis for decisions producing legal or similarly significant effects on individuals without human review, except where expressly agreed with enterprise clients who assume responsibility for such use under their own governance frameworks.
